Privacy Policy
1. Introduction
Transforming Minds Project ("Transforming Minds Project", "we", "us", or "our") is a family focused organization based in Stockton, California. We provide evidence based parent education, Parent-Child Interaction Therapy (PCIT) coaching, child abuse prevention education, parenting resources, and community partner support. We respect the trust that families and professional partners place in us, and we treat the information you share with care.
This Privacy Policy explains what information we collect through transformingmindsproject.org (the "Site"), how we use it, when we share it, and the choices and rights you have. Please read it carefully. By using the Site, submitting a form, or contacting us through the Site, you agree to the practices described in this policy. If you do not agree with this policy, please do not use the Site.
2. Scope of This Policy
This policy applies to the Site and to information we collect through it. It also applies to information collected by phone, email, or in person in connection with our educational programs, unless a separate notice is given to you at the time of collection.
Clinical psychotherapy services are provided separately by our sister organization, Family Legacy Therapy P.C. That organization is a separate legal entity with its own privacy practices, and where applicable its own Notice of Privacy Practices under health privacy law. Information you provide directly to Family Legacy Therapy P.C. is governed by that organization’s policies and not by this one.
Transforming Minds Project provides education, coaching, and prevention programs. We do not provide diagnosis, medical treatment, psychotherapy, or emergency services through this Site.
3. Information We Collect
Information you give us directly. When you complete a contact form, request program information, register for a class or event, ask a question, or contact us by phone or email, we may collect:
• Your name, email address, phone number, and city or ZIP code.
• Basic information about your family that you choose to share, such as the ages of your children or the kind of support you are looking for.
• How you heard about us, including the name of a referring professional or organization.
• The content of any message, question, or comment you send us.
Information submitted by referral partners. Pediatricians, schools, school counselors, social workers, foster care agencies, family service organizations, and community nonprofits may submit information about a family to us. This may include the family’s name and contact details, the reason for the referral, and the referring professional’s name, role, and organization.
Information collected automatically. Like most websites, our Site collects certain technical information automatically when you visit. This may include your IP address, browser type and version, device type, operating system, the pages you view, the pages that referred you, and the dates and times of your visits. This information is collected through cookies and similar technologies used by our website platform and by analytics tools such as Google Analytics.
4. Please Do Not Send Sensitive Information Through the Site
Website forms, email, and text messages are convenient, but they are not secure methods of communication. Please do not use the Site to send medical records, diagnoses, treatment notes, medication details, Social Security numbers, financial account numbers, court documents, or detailed accounts of abuse or neglect.
If you need to discuss sensitive matters, please call us so that we can arrange a safer way to communicate. If a child is in immediate danger, call 911.
5. Mandated Reporting and the Limits of Confidentiality
We keep the information you share with us private, with important exceptions required by law. Under California law, many of the professionals who work with children and families are mandated reporters. If our staff form a reasonable suspicion that a child has been abused or neglected, we are legally required to report that suspicion to the appropriate authorities, and we cannot promise confidentiality in that situation.
Transforming Minds Project is not a child abuse reporting agency, a law enforcement agency, or an emergency service. If you need to report suspected abuse or neglect, contact your local child protective services agency or law enforcement directly. In an emergency, call 911.
6. How We Use Information
We use the information described above to:
• Respond to your questions, requests, and program inquiries.
• Enroll families in classes, coaching, and educational programs, and communicate about scheduling.
• Coordinate referrals with the professionals and organizations that send families to us.
• Send information about upcoming classes, workshops, and community events, where you have asked to receive it.
• Understand which pages and resources are most useful, and improve the Site and our programs.
• Prepare grant applications and community reports using aggregate figures that do not identify any individual family.
• Keep accurate records, and meet legal, regulatory, and reporting obligations.
We do not use the personal information of families for advertising or marketing to third parties.
7. We Do Not Sell Your Information
We do not sell, rent, or trade personal information. We do not share personal information with third parties for cross context behavioral advertising, and we do not receive payment for disclosing personal information.
8. When We Share Information
We share personal information only in the following circumstances:
• Service providers. We use trusted vendors to operate the Site and our programs, including our website hosting platform, analytics providers, email and scheduling tools, and, where relevant, document storage. These providers may process information on our behalf and are expected to protect it and to use it only for the services they provide to us.
• With your consent. If you ask us to share information with a school, doctor, caseworker, attorney, or another organization, including our sister organization Family Legacy Therapy P.C., we will do so on the basis of your written authorization.
• Legal requirements. We may disclose information when required by law, including mandated reports of suspected child abuse or neglect, subpoenas, court orders, or lawful requests by public authorities.
• Safety. We may disclose information where we believe in good faith that disclosure is necessary to prevent serious harm to a child or another person.
• Aggregate and de identified information. We may share statistics and summaries that do not identify any individual, for example in grant reports or community presentations.
9. Cookies and Analytics
Cookies are small files placed on your device that help a website function and help us understand how the Site is used. We use them to keep the Site working properly and to measure traffic, popular pages, and general visitor trends.
Most browsers let you refuse or delete cookies through their settings. If you block cookies, parts of the Site may not work as expected. You can also opt out of Google Analytics measurement by installing the Google Analytics Opt-out Browser Add-on. Because there is no common industry standard for responding to browser Do Not Track signals, our Site does not currently respond to them.
10. Children’s Privacy
The Site is intended for adults. It is designed for parents, caregivers, guardians, and professional partners, and it is not directed to children under the age of thirteen. We do not knowingly collect personal information directly from children under thirteen.
Parents and caregivers may share information about their children with us in the course of enrolling in a program. We treat that information as confidential and use it only to deliver the program and to communicate with the adult who provided it. If you believe a child has submitted personal information to us through the Site, please contact us and we will delete it.
11. How Long We Keep Information
We keep personal information only for as long as we need it for the purposes described in this policy, or for as long as the law requires. Inquiry and referral records are generally retained for a limited period and then securely deleted or destroyed. Program and attendance records may be kept longer where a funder, regulator, or applicable law requires it.
12. How We Protect Information
We use reasonable administrative, technical, and physical safeguards to protect the information we hold. These include limiting access to staff who need it, using password protected systems, and working with reputable service providers. No website, server, or method of transmission is completely secure, so we cannot guarantee absolute security. Please help us by choosing secure passwords and by keeping your own devices and email accounts protected.
13. Your California Privacy Rights
If you are a California resident, you may have the following rights regarding personal information we hold about you:
• The right to know what categories and specific pieces of personal information we have collected, the sources, the purposes, and the categories of third parties with whom we have shared it.
• The right to request deletion of personal information we have collected from you, subject to legal exceptions.
• The right to request correction of inaccurate personal information.
• The right to opt out of the sale or sharing of personal information. As explained above, we do not sell or share personal information in this way.
• The right not to receive discriminatory treatment for exercising any of these rights.
To make a request, contact us using the details in Section 16. We will need to verify your identity before acting on a request, and we may ask for information that matches what we already hold. An authorized agent may submit a request on your behalf with written permission. California residents may also request information about disclosures for direct marketing purposes under California’s Shine the Light law, although we do not make such disclosures.
14. Links to Other Websites
The Site may link to other organizations, articles, hotlines, and educational resources. We provide these links for convenience and information only. We do not control those websites and are not responsible for their content or their privacy practices. We encourage you to read the privacy policy of any website you visit.
15. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our programs, our technology, or the law. When we do, we will post the updated policy on this page and revise the Last Updated date above. Significant changes will be highlighted where practical. Your continued use of the Site after an update means you accept the revised policy.
